What is the process for adding a smart hub 4540 to our existing essential camera set up without losing our free trial?

You can add the hub at any time. What will cause you to lose the trial is to remove the cameras to add them to the hub. Unless you need the local recordings made possible by the use of the hub I would wait until the trial is over.

Removing cameras should not remove the trial. Once you claim a camera, the trial is tied to your account.
You should safely be able to remove your cameras and sync to a SmartHub after set up and retain the existing trial subscription as long as you're still using the same account.
